eBizDocs Acquires Image Data 

The strategic collaboration elevates the best of two successful regional businesses to become the area’s largest digital transformation provider.

Menands, NY. September 28, 2022 – eBizDocs, a premier electronic content solutions provider, announced today that it acquired Albany-based company, Image Data, a leading solution centric document scanning bureau, with offices in Albany NY and Framingham MA. eBizDocs becomes one of the largest digital transformation providers in the Northeast. Both companies are headquartered in the Capital Region and have been in business for over 20 years. They enjoy a long history of supporting complementary customers and employing individuals from the disabled community.

“We are excited about extending employment opportunities to a workforce of trained and experienced individuals,” said Howard Gross, President and CEO of eBizDocs. “Our ability to quickly integrate this team is accelerated by sharing best practices defined in existing SOC 2 policies on how we manage customer data, and LEAN six sigma procedures to reduce variation, remove waste, and enhance process control. The result is no disruption to existing projects and adding capabilities for securing new revenue opportunities.”

The acquisition brings an immediate boost in qualified staff to eBizDocs, while other competitive businesses continue to suffer from post-COVID pandemic personnel shortages. As a result of today’s announcement, eBizDocs employee count will increase by approximately 35%.  This deal also includes strategic contracts, high-capacity scanning equipment and software. No jobs will be lost in the acquisition, and all Image Data employees will move to eBizDocs’ offices in Menands, NY. eBizDocs also deepens its experience in many verticals including Image Data’s experience in the healthcare and Federal Government sectors.

“eBizDocs demonstrated the value of automating our operations and helped us go paperless using advance capture, a document management system (DMS), and desktop scanners. This was a true lifesaver when we implemented remote work during COVID and has been equally as helpful pre- and post-pandemic,” said Andy Heck, Alpin Haus president. “We are confident this acquisition will benefit Alpin Haus and other eBizDocs customers moving forward.”

eBizDocs will assume all Image Data contracts and extend its relationship with NYSID and ARC on preferred source contracts. “eBizDocs has been an amazing partner for New York State Industries for the Disabled (NYSID), empowering people with disabilities by providing them with competitive integrated employment opportunities,” said Maureen O’Brien, NYSID President and CEO. “We will support eBizDocs and the workforce that we jointly serve.”

Another contract eBizDocs will assume is the City of Salem & Public Schools, an account that has been pleased with Image Data’s work. Walking down a narrow hallway connecting two offices on the first floor of City Hall in early February, Ilene Simons, Salem’s seventh city clerk since the community’s transformation to a city in 1836, shares her trepidation in seeing the city archives leave Salem.

HIGH-TECH HISTORY Salem’s archives meet the digital age, placing public records at people’s fingertips…..

“They’ve never been out of my sight,” she says, stopping at one column of aged spines facing toward her. “I didn’t want to be the city clerk to lose the books.”…..

….“They (Image Data Inc.) handled them very well,” she says of the records, “and you couldn’t tell anything happened to them at all.” They are the workers at Image Data, an Albany, New York-based company that has been charged with digitally archiving the city’s records. Now in its third year, the project has already seen more than 1.1 million city records scanned…..

….I would’ve been thrilled if we put this system out and got to the six-year mark and had 100,000 devices connecting in, and I would’ve been thrilled if we had 20,000 records viewed,” Killen says. “We’re wildly over the top.” With so many department records available through the digital archive, the city’s own records seem to be drawing the bulk of attention. The most requested documents are town records from 1774 to 1818. The city clerk’s entire volumes from 1634 to 1865, along with the volume from 1881 to 1883, including those covering Salem’s first decades as a city, account for the top eight requested records……

….The project has also been memorable for those carrying it out. Marto compares his work on Salem’s archives with another major project where his company was given access to a daunting wave of Sept. 11, 2001, records, something he called “quite an accomplishment and an honor.” “We do fragile and historic books. Some of them date back even before (Salem),” Marto says. “There’s a lot of digitization that you do that’s just another job, but when you get into the historic records, something that’s meaningful, it stays with you.”

Implementing an #EMR? What about our existing patient records?

Four Winds HospitalFour Winds Hospitals are located on two serene campuses in New York State. Four Winds Katonah, a 175 bed psychiatric hospital 50 minutes north of midtown Manhattan and Four Winds Saratoga, an 88 bed psychiatric hospital located in Saratoga Springs, 30 minutes north of Albany. According to Michelle Blanchard, RHIA, who is Director, Health Information at Four Winds, “Four Winds Saratoga contracted with Image Data converting historical patient records to images which were then transferred to our electronic medical record. This included over 600 patient files and approx. 105,000 scanned images.”

Image Data’s responsive approach to this project and proven experience with similar healthcare customers yielded expedient progress and instant access to important patient records that provide continuity of access to older patient information even as new, state of the art systems are put in place.

Blanchard adds, “The Image Data team did an amazing job maintaining organization of the records while transporting, preparing and scanning the records. The quality of the images far surpassed our expectations as did the speed at which the team finished the project. The overall experience was unsullied and we would highly recommend Image Data services to other organizations seeking imaging services.”
